ESSA Summer Open Championships

The Summer Open (Individual) Championships organiser is summer-open@essa-mail.uk (Stewart Nicklin)

In 2025, ESSA are holding their 5th Summer Open Championships. It is open to all school age swimmers from 9 years old, including para swimmers.

2025 Event 


Licensed by Swim England at Level 3 (3SE250513)
Date: 21st/22nd June 2025
New entry methods to including compatibility with clubs running Hy-Tek/TeamUnify or SportSystems, or group entry using Excel file or online form
Venue: K2 Leisure Centre, Crawley, RH11 9BQ
             50m Pool, 8 Lanes, full electronic timing with anti-turbulence lane ropes
Age Groups: 9/10, 11/12, 13/14, 15 and over. Ages are calculated as at 22nd June 2025 (Last day of competition)
Events: 50m, 100m and 200m all strokes plus 200m IM, 400m Freestyle & IM
All events will be heat declared winners.
Para swimmers may enter the events shown in their respective classification that have qualifying times
Fees: £8.75 per event (Payment by BACS or Card)
Awards: Awards to 1st, 2nd and 3rd in each age group. (HDW)

- This year, thanks to support from Berkshire and South Buckinghamshire Amateur Swimming Association webmaster, we are using an on-line entry system that accepts individual entries online as well as bulk entries in the following formats: Sport Systems (.SEZ), HyTek/TeamUnify etc (.HY3/.SD3) and Consolidated Entry File (.xlsx/.txt - e.g. generated from the Excel entry file for schools etc)

Spectators (pay on the door)
Adults/Children 13 and older: £5 per session,  £15 for both days (all 4 sessions).
Concessions : £3 per session,  £10 for both days (all 4 sessions).
Children Under 13 Free.

Officials/Volunteers

This is a Level 3 licensed meet. We are seeking volunteers to help with the running of this event on the day.

If anyone is able to volunteer some time as an official, or to help on the door, medals table, marshalling of swimmers - all offers of help are appreciated.

Accepted Entries 

The meet is now full and we have closed the meet to new entries. The deadline for Team Manager/Coach passess has now passed. If you require a TM/Coach pass, please email summer-open@essa-mail.uk 

All entries are accepted after payment has been received. Please ensure payment is made on submission of entries, or as soon as practical afterward for BACS Payments.
A list of entries received is available for download below. This has now been checked against rankings data and indicates the status of the match. It highlights any corrections that may be required to ensure results can be uploaded at the end of the meet.


Please advise summer-open@essa-mail.uk of any corrections as soon as possible (updates to times will not be accepted unless there is an obvious error with the entered time, and no later than Midnight on 15th June.
An attempt to match Swimmers to Rankings will be made. The status of these matches will be shown in a final 'accepted entries report' released by Friday 20th June. Any that do not match (e.g. Overseas clubs) will not be uploaded to rankings.
A results export file can be requested after the meet. 

Withdrawals:

Withdrawals close for each session at the start of the session's Warm-Up.
Withdrawals can be made using the online form https://forms.office.com/e/Ajt5Qi5pYE
The online form will close at the start of each warm-up to allow us to process the withdrawals, then re-open once the session has started.
Paper forms will NOT be used this year. 

Coach/Team Manager Pass Application:

Passes can be purchased up to midnight on 7th June even though entries are now closed

Passes should be applied for when submitting your entry on the meet entry website (CLICK HERE)
They can be applied for without an entry (e.g. after entries have closed early or after entry submission)  by selecting the 'Purchase of meet extras, eg Poolside passes, Parking etc.' option.

Entries

This year, thanks to support from Berkshire and South Buckinghamshire Amateur Swimming Association webmaster, we are using a new on-line entry system that accepts entries in the following formats:

  • Individual entries using on line form. This is also for Para swimmer entry.
  • Sport Systems (.SEZ) - See Entry Files below for the SportSystems Meet Entry files, and option to download the SportSystems  Entry Manager
  • HyTek/TeamUnify etc (.HY3/.SD3) - See Entry Files below for the Meet Definition File
  • Excel Entry File (.xlsx) - See Entry Files below for Excel spreadsheet download and instructions
  • Coach/Team Manager Pass - these are applied for when using any of the entry systems above, or can be applied for seperately.

Times submitted should be short course times.  - Conversion from Long Course times are accepted - e.g. using the Sportsystems Equivalent Time Converter download

If you have difficulties downloading any of these files, please contact webmaster@essa-mail.uk stating which file you are attempting to download and the difficulty you are encountering.
After clicking to download any of the files below the file may open in a new tab, or may be sent to your 'downloads' folder - which varies according to browser and device.

All entries must be made via the meet entry website following any further instructions as relevant according to your entry route as below;

NOTE: All entries must be paid for before they are accepted. 

Individual entry/Para entry:

Submit entries using the Individual/small group option on the meet entry website
There is no downloadable entry form and entries cannot be accepted by email

Chaperone Pass Application Form:

School/Overseas Club entries:

Download and save the excel workbook below and edit it to enter your school and swimmer details.

This file should be named SO25MEET_****.xlsx where **** is replaced with a short version of your school/club name with no spaces.
This latest version fixes an error where the swimmer's age was calculated incorrectly.
This will need to be uploaded using the bulk entry option on the meet entry website
Please ignore the statement that implies bulk entries can only be uploaded in SportSystems format.
Ignore any warnings about the filename not being as expected for sportsystems files - once you've selected your file for upload, click the 'Continue' button.
Once you've uploaded the file, it will allow you to check the import.
IN ADDITION to entering via the meet entry webpage, please email the Excel file to summer-open@essa-mail.uk and the entry number (which will be in the confirmation email you receive from the entry site) to help with this process. 

Club entries (Using SportSystems):

The entry files (.sez)  should be uploaded using the bulk entry option on the meet entry website

Club entries (Using HyTek/TeamUnify etc):

The entry files (.hy3 or .sd3)  should be uploaded using the bulk entry option on the meet entry website

Who can enter?

This is an individual event where swimmers represent themselves. They may enter directly, through their club or their school. It is open to all secondary school aged swimmers, and primary school swimmers that have reached the age of 9 by the last day of the championships, including Para swimmers.
